Best AI Workplace Search Tools in 2026
Compare Glean, Guru, Coveo and Slite on permissions, sync lag, governance and pricing. Choose the right AI search layer for internal company knowledge.

Verdict
Choose Glean when the primary problem is finding company knowledge across a large, fragmented app estate. Choose Guru when approved answers, ownership and verification matter more than indexing everything. Choose Coveo when search is an engineered relevance program across employee and customer experiences. Choose Slite when the team will maintain a shared knowledge base and wants a lower, public starting price.
This is an internal-knowledge decision: source permissions, revocation lag and content ownership decide whether an answer is safe to use. For web, market and academic sources, use the separate AI research tools guide.
Shortlist by operating model
| Tool | Best fit | Pricing checked October 20, 2026 | Permission, sync or governance boundary |
|---|---|---|---|
| Glean | Broad, neutral search across many workplace systems | Per-user Core or Enterprise Flex; seat amount is not public and advanced AI usage can add charges | Connector behavior varies. Salesforce record access is mirrored, but field-level security is not enforced for indexed fields |
| Guru | Governed answers with owners and verification | Tailored platform-plus-expertise quote; no public seat price | Sources can use Guru Groups or inherited permissions where supported; most sources sync several times daily |
| Coveo | Configurable relevance, analytics and multiple search surfaces | Workplace is seat-based but quote-only; generative features are add-ons | Freshness and identity refreshes are configured; some permission-only changes can require a rebuild |
| Slite | A maintained team wiki plus search over connected tools | Basic $10/user/month and Pro $20/user/month, both billed yearly | External sources use Shared or Mirrored access; available modes depend on the connector |
The four products do not sell the same thing. Glean starts with distributed retrieval, Guru with governed knowledge, Coveo with a relevance platform, and Slite with docs plus an agent. Compare the operating model before counting AI features.
Glean: broad retrieval, with connector-specific controls
Glean's case is coverage plus low-friction retrieval across sources. Its connector documentation separates indexed, live and hybrid access, and says native connectors fetch source permission maps. That supports permission-aware search, but it is not a universal promise that every source control is reproduced exactly.
The current Salesforce connector documentation is the useful counterexample: record-level sharing is mirrored, while field-level security is not enforced at query time for indexed fields. Glean recommends excluding sensitive objects or fields. Test each high-risk connector with restricted users, not one admin demo.
Freshness also varies. Glean's crawl FAQ says supported deletion events usually clear results within minutes to hours; missed or unsupported events fall back to full crawls that currently range from six hours to 28 days. Admin content hiding can cover an urgent gap.
Glean publishes the billing model, not a seat amount. Core Suite is licensed per user and separates included search/connectors from Model Hub usage. Enterprise Flex includes unlimited basic search and Fast Mode plus up to 100 standard-model Thinking and Adaptive queries per user weekly; premium models, agents and excess usage consume pooled FlexCredits. Price both the seats and the likely AI workload.
Guru: build a governed answer layer
Guru fits support, sales and operations teams that need an approved answer, its owner and a visible trust state. Verification marks cards and connected-source records as verified, unverified or neutral. That creates a maintenance loop; it does not make weak source material correct by itself.
The access model is flexible enough to demand care. Guru's source guide lets admins grant access through Guru Groups or inherit native permissions for supported sources. It checks most sources multiple times per day, while source-specific behavior can be faster. Initial indexing can take days, files above 50 MB fail to sync, and content moved outside a synced folder may remain searchable for up to three days.
Guru's current pricing page no longer publishes a simple seat price. It describes a tailored platform and advisory engagement covering knowledge architecture, agent configuration and rollout. Buy it when that governance work is part of the requirement, not as an invisible search box.
Coveo: treat search as a product
Coveo is the strongest fit when a team owns relevance rules, analytics and integrations across workplace, service or web experiences. Its pricing page includes document-level security, refresh-frequency controls, query pipelines, A/B testing and reporting. Workplace uses seat-based pricing, but no amount is public; generative answering is a separate add-on.
That control brings implementation work. Coveo documents scheduled refreshes and rescans rather than one universal freshness promise. Its security-identity guide warns that permission-only changes may not alter a source item's modification date, so a refresh or rescan can miss them. A rebuild and identity refresh may be required. Fund connector monitoring and a relevance owner alongside licenses.
Slite: consolidate knowledge and keep it maintained
Slite is the practical candidate for a smaller team willing to make docs the center of company memory. Basic costs $10 per user monthly billed yearly, includes Ask within Slite docs and allows 30 AI questions per seat each month. Pro costs $20 on the same billing basis, adds connected-tool search and includes 50 monthly credits per seat. Enterprise adds audit logs, SCIM, an SLA and advanced controls at a custom price.
Do not assume every Slite connector inherits source permissions. The Agent source guide labels each source Shared or Mirrored. Mirrored sources follow the connected account; Shared sources use Slite access at the selected root node. The connector table lists some integrations with both modes, so verify the selected connection. Rate limits can delay large imports or recent changes. For native Slite docs, permissions are checked in real time, but comments, document history and collection attributes are not indexed.
What one buyer report adds
In a May 26, 2026 r/SaaS post, u/sibraan_ described a 400-person services firm's evaluation across Salesforce, SharePoint, Slack, old deliverables and meeting notes. The author reported that Glean was strong at locating known files, while Guru's verification workflow was useful but required documentation habits the team did not sustain.
That is one unverified, self-reported evaluation, not comparative testing by this site. Its useful contribution is the failure mode: broad retrieval does not clean the corpus, and a governance workflow fails without owners.
Run a pilot that can reject a vendor
Use the same 25 real questions and the same restricted test identities in every product. Include an ambiguous acronym, a stale policy, a document shared with one group, a revoked user, a sensitive field inside an otherwise visible record, a deleted file and an answer requiring two sources. This site has not run that benchmark.
Record correct-source retrieval, citation quality, unsupported claims, edit-to-search delay, revoke-to-hide delay and delete-to-hide delay. Then assign an owner to every canonical answer and measure the weekly review burden. Price licenses, AI add-ons, connector implementation, migration and ongoing search operations together.
The winner is the product that stays within the tested access boundary and produces useful answers on your corpus at an operating cost the team will sustain. A polished answer in a vendor demo is not enough.
